Zero Chaos Club
At some point, every founder becomes their own worst-paid employee.
The inbox. The scheduling. The invoices that still haven't been chased. The supplier who went quiet three days ago. None of this requires your expertise - it just requires your time, and it's taking far more of it than it should.
I'm Simona. I've managed operations on multi-million-pound construction sites and helped founders build purpose-driven brands from the ground up. Whether you're running a wellness business or a trades operation, I take the back office off your plate so you can get back to the work only you can do.
What happens when you get in touch
Virtual assistant and operations support for London founders and UK construction businesses. Inbox management, project coordination, subcontractor chasing, and back-office systems - handled so you don't have to.
Tell me what's breaking
Book a free 15-minute call. No prep needed. Just tell me where things are slipping and what's eating your evenings.
I map what to take off your plate
After the call I send a proposal built around your actual workload - not a generic package. You'll know exactly what gets handled and what it costs.
You get your time back
Contract signed, deposit secured. Most clients are handing over tasks within 48 hours. The chaos doesn't stop - it just stops being yours.
Turning strategy into execution.
What I handle so you don't have to
Inbox and diary management
Your inbox is the first thing you open and the last thing you close. I triage, filter, and draft responses so you're only touching the messages that genuinely need you - not the ones that just happened to land there.
Operations and project management
When a project has too many moving parts to track in your head, things slip quietly. I keep the coordination running - milestones tracked, stakeholders updated, nothing falling through without someone noticing.
Subcontractor and supplier chasing
A supplier who's gone quiet can stall an entire job. I follow up firmly enough to get an answer and carefully enough not to torch the relationship - because I've spent years doing exactly this on construction sites.
Invoice and payment tracking
Late invoices rarely chase themselves. I raise them promptly and follow up on overdue payments with the kind of persistence that's professional enough not to lose you a client, but consistent enough to actually get you paid.
Executive and launch support
A launch has a hundred moving parts and most of them don't announce themselves until something goes wrong. I coordinate the logistics - schedules, briefings, stakeholder updates - so the deadline lands without a last-minute scramble.
Travel management
Flights, hotels, visas and detailed itineraries - handled. Eco and wellness-aligned options as standard, because that matters to my clients and it matters to me.
Not sure which service fits? Book a call and we'll work it out.

Most clients come in wanting fewer emails in their inbox. What they leave with is something quieter - a back office that runs without them, and processes that stay documented so nothing depends on their memory.

Hi, I'm Simona, London-based virtual assistant with 15 years across construction operations and founder support. Yoga-trained, plant-based, and equally at home on a building site or behind a wellness brand.
I’ve spent years in high-stakes administration - managing operations on £1M+ construction projects, keeping C-suite executives running and supporting founders building brands they actually believe in.
I trained as a yoga teacher in Rishikesh. I’ve backpacked across Asia for three years. I’m plant-based and I care about it. None of that stops me from being exactly the kind of operations partner a construction director or property developer needs - someone who’s been on site, understands the pace, and won’t need hand-holding.
I built Zero Chaos Club because the founders I admire most, whether they’re running a yoga studio or a trades business, were all losing the same thing - time. And time spent on admin is time not spent on the work that actually matters.
I work with a small number of clients at any one time. If you’re building something with purpose - green, ethical or just genuinely useful - tell me. It matters to me who I work with.
Your inbox shouldn't dictate your day. Your diary shouldn't own you. And your brilliant brain definitely shouldn't be formatting PowerPoints at midnight.
Momentum over perfectionism
Done is better than perfect. I value momentum over perfectionism. We get things moving. I help move you from "overwhelmed" to "total oversight."
Boundaries are beautiful
Weekends are sacred. Compassion beats the cult of constant productivity. If we're going to spend 40+ hours a month working together, we should actually like each other!
Powered by plants & purpose
I’m proudly plant-based and deeply passionate about sustainability. I have a special soft spot for founders building something kind, ethical or green.
Three years on the road
Backpacking across Asia taught me more about logistics and adaptability than any office ever could. Next stop: South America with an open mind and comfortable shoes.
The plant-based mission
I’m obsessed with finding the best vegan food in every city I visit. Currently trying (and mostly failing) to recreate my favourite Taiwanese street dishes at home.
Protecting the peace
Burnout isn't a badge of honour. When I'm not organising your business, I'm grounding myself through yoga (YTT Rishikesh) and long walks so I can show up fully for you.
Planet first
I run a paperless business and believe sustainability isn't optional. If you're building something green, ethical, or kind to the earth, we’ll get along well.
Good humans only
Life is too short for bad vibes. I choose clients I genuinely connect with, on projects that feel aligned. Mutual respect and healthy boundaries are my love language.
Forever curious
Whether it's mastering a new tech tool or finally perfecting the oat milk flat white, I never stop trying to do things better for my clients and myself.

What consistent support actually costs
No National Insurance. No pension. No sick pay. Just experienced operational support for the hours your business needs.
Why hire a VA?
You pay for the output, not the overhead. It’s the most efficient way to scale your operations without the complexities or costs associated with a traditional payroll.
- No National Insurance
- No pension contributions
- No sick pay or holiday pay
- No HR paperwork
How we work together
My support is designed to be seamless and predictable. I offer three retainer tiers built around consistent, dedicated support to ensure your business stays in flow.
This structure allows me to stay ahead of problems before they land on your desk, providing proactive oversight rather than just reactive task-completion.
Ad hoc support is available for one-off projects or seasonal busy periods - details are available on request.
Foundation
15 hours | £525/month
The right starting point if you've never had support before. Inbox, diary and essential coordination handled - so you can find out what it's like to start the week without a backlog already waiting.
Growth
20 hours | £700/month
Beyond keeping up - this is staying ahead. Supplier chasing, proactive oversight and the kind of operational awareness that means problems get caught before they become yours to fix.
Accelerate
35 hours | £1,225/month
Full back-office coverage. You focus on the decisions that actually require you. I handle everything else, with monthly strategic reviews so nothing drifts.
The ad-hoc support is £45 per hour. 50% deposit required upfront to confirm scope, remaining 50% due upon project completion.
Each package requires a 3-month minimum commitment, followed by a rolling monthly contract that needs 1 month’s notice to cancel. Payment is due in full at the start of every cycle. Because I reserve time specifically for you to ensure availability, unused hours don't roll over. All calls and meetings count towards your monthly allowance and are charged at my hourly rate.

The admin is holding your
wellness brand back.
You started your business to make people feel better - not to spend Sunday nights chasing invoices and reformatting spreadsheets. That's where I come in.
Book a free 15-minute call →Running a wellness brand is operationally complex in ways no one warns you about. You're managing retreats, suppliers, studio bookings, a product launch and a community inbox - often all at once, and often entirely alone.
The work that keeps your business running - the scheduling, the follow-ups, the logistics, the invoicing - doesn't stop because you've got a class to teach or a product shoot to prepare for. When it stacks up, it doesn't just eat your time. It eats your energy.
Zero Chaos Club handles the operations so founders of wellness brands can focus on the work that actually requires their expertise.
You're probably here because something is slipping.
You run a yoga studio, wellness practice, or plant-based brand and the admin has quietly become a second full-time job.
You're organising a retreat and the logistics - venues, suppliers, guest comms, dietary requirements - are pulling you away from designing the actual experience.
Your inbox is a disaster, your calendar gets double-booked, and you're the one doing all the supplier chasing because no one else is.
You know you need help but you're not ready to hire a full-time employee. You want someone experienced, reliable, and on-brand with the way you work.
Operations support built for how wellness businesses actually run.
Inbox & Diary Management
Triage, filtering, and drafting responses. Your inbox should be a tool, not a source of daily dread. I handle the noise so you're only dealing with what genuinely needs you.
Retreat & Event Logistics
Venue research, supplier coordination, guest communications, dietary and accessibility requirements, itinerary building. The detail work that makes retreats run smoothly.
Supplier & Partner Chasing
Whether it's a packaging supplier, a studio hire, or a retreat caterer who's gone quiet - I follow up without you having to think about it, and without burning the relationship.
Invoice & Payment Tracking
Raising invoices, chasing overdue payments, reconciling what's been paid. Cash flow problems almost always start as admin problems.
Systems & Process Documentation
Building out your Notion workspace, documenting how things get done, creating SOPs so your business isn't entirely dependent on you being present for every decision.
Launch & Project Support
New product, new programme, new retreat series - coordinating moving parts, keeping stakeholders updated, making sure deadlines don't get missed quietly.
The things wellness founders tell me they're drowning in.
Spending evenings catching up on emails that should have been handled hours ago.
Manually chasing payment for every single invoice, every month.
Retreat logistics living entirely in your head with no proper system.
Double-booking yourself because your calendar has no real management.
Losing track of supplier quotes and following up weeks too late.
Doing your own travel booking and research instead of anything revenue-generating.
Having no documentation of how anything in your business actually works.
Working weekends because the week's admin never got finished.
Simona is so organised and reliable that she didn't just tidy my inbox, but actually gave me my brain space back.Sarah J. - Founder, Plant-Based Skincare
Someone who actually understands your world.
I'm plant-based. I trained as a yoga teacher in Rishikesh. I've spent three years travelling across Asia. I care genuinely about sustainability, about purpose-driven business, and about the kind of founders who are trying to build something good.
I also spent 15 years in high-stakes operational environments - managing multi-million pound construction projects, supporting C-suite executives, keeping complex moving parts organised under pressure.
That combination of values and operational rigour is what makes the difference. I work with a small number of clients at any one time. That's deliberate. You get consistent, attentive support - not a ticketing system and a rotating team.
A VA who already knows the language
- ✓ Understands retreat logistics and the suppliers involved
- ✓ Knows what plant-based and ethical sourcing actually means in practice
- ✓ Eco and wellness-aligned travel options as standard
- ✓Familiar with the community-first communication style wellness brands need
- ✓ Trained yoga teacher (YTT, Rishikesh) - no onboarding required on the basics
- ✓Works paperless. GDPR compliant. Won't put your client data into public AI tools

You're brilliant on the tools.
Quotes, invoices, supplier emails, scheduling, chasing payment - it's a full-time role sitting on top of the actual work. I handle the office so you can stay on site.
Book a free 15-minute call →Most tradespeople don't lose work because they're bad at their trade. They lose it because the quote went out three days late, the invoice never got chased, or a supplier email got buried and a job stalled.
The paperwork side of a trades business is relentless. It doesn't pause when you're on a job, it doesn't care that you've been on site since seven, and it certainly doesn't sort itself out over the weekend. For a solo operator, it falls entirely on you - and it's quietly costing you time, money, and headspace every single week.
Zero Chaos Club handles the admin so tradespeople can focus on the work they're actually good at - and get paid properly for it.
You're good at the work.
The office side is another story.
You're a plumber, electrician, builder or general tradesperson running your own business and the admin has become a second job you never signed up for.
Quotes are sitting half-finished because you haven't had time to write them up properly, and you know you're losing jobs because of it.
You've got invoices out that haven't been paid and you keep meaning to chase them, but by the end of the day there's nothing left in the tank.
You're doing every single bit of scheduling, supplier chasing, and customer communication yourself — and it's eating the evenings and weekends you should be switching off.
The admin that's eating your evenings, handled.
Quote & Proposal Writing
You give me the scope and the numbers. I write it up professionally, format it properly, and get it out to the client while the job is still fresh in their mind.
Invoice Raising & Payment Chasing
Invoices raised promptly, overdue payments chased without you having to think about it. Cash flow problems almost always start as admin problems.
Supplier & Subcontractor Chasing
I know how to chase a supplier who's gone quiet without burning the relationship. Delivery confirmations, quote follow-ups, and order tracking handled on your behalf.
Invoice & Payment Tracking
Jobs booked in, client confirmations sent, reminders managed. No more double-bookings, no more turning up to a job the client forgot about.
Customer Communications
Enquiry responses, job updates, follow-up messages after completion. Professionally handled in your tone so clients feel looked after without you typing a word.
Document & Process Organisation
Certificates, warranties, job records, compliance documents - filed properly so you can find them when you need them, not ten minutes before a site inspection.
The admin pile every tradesperson knows too well.
Quotes sitting half-written on your phone because there's no time to finish them properly after a full day on site.
Invoices that went out late, or didn't go out at all, because the job ran long and it slipped.
Chasing the same client for payment three times because no one else is doing it.
A supplier who went quiet mid-job and cost you two days waiting on materials.
Certificates and compliance documents scattered across your van, your phone, and three different email threads.
Spending Sunday evening doing the week's admin instead of actually switching off.
Losing a job to a competitor who just got their quote in first - not because they were better, but because they had someone handling the paperwork.
No system for anything, so every week starts from scratch and every busy period tips into chaos.
A VA who's actually been on a construction site.
Most virtual assistants have never set foot on a building site. They don't know what a snagging list is, they've never had to chase a groundworks subcontractor who's three days late, and they wouldn't know a RAMS document from a risk register.
I do. I spent years managing operations on multi-million pound construction projects - coordinating subcontractors, handling supplier relationships, keeping documentation tight, and making sure nothing slipped through the cracks under pressure.
That background means no lengthy onboarding, no explaining industry basics, and no cringing at an email going out to a client that sounds nothing like how trades businesses actually communicate. I already speak the language.
What that means in practice
- ✓ Knows how to chase a subcontractor firmly without torching the relationship
- ✓ Familiar with construction documentation - RAMS, O&M manuals, handover packs
- ✓ Understands site schedules and why delays cascade
- ✓ Writes quotes and client communications that sound professional without sounding corporate
- ✓ Won't need hand-holding on industry context - just a brief and a login
- ✓ GDPR compliant. NDA available. Your client and site data stays confidential.

Hiring a Virtual Assistant vs a Full-Time Employee:
what it actually costs a small business in the UK
Why the hourly rate comparison misses the point
A VA charges more per hour than an employee earns. That's true. What that comparison ignores is that you only pay for productive working time.
No National Insurance. No pension contributions. No sick pay. No holiday cover. No IT equipment to buy, no software licences to fund, no mandatory training to book. A VA brings their own tools, their own systems, and their own professional development. When the work stops, the clock stops.
An employee's cost runs whether they're at full capacity or not. A quiet week still costs you the full salary, the NI, the desk space, and the software subscription. A VA retainer scales with what your business actually needs.
What this means for a wellness brand or trades business
For a solo founder running a yoga studio, a plant-based product brand, or a one-person trades operation, the employee model rarely makes financial sense at the point when admin support first becomes necessary. The work isn't eight hours a day, five days a week. It's fifteen or twenty hours a month of inbox management, invoicing, scheduling, and supplier chasing -the kind of task load that drowns a founder but doesn't justify a full salary.
A VA retainer covers exactly that. You pay for the hours you need, you get the experience of someone who has done this work across multiple businesses, and you carry none of the employment overhead.
The hidden cost nobody talks about - your own time

A note on these figures
The cost breakdown in this post is based on an infographic by VA industry expert Catherine Gladwyn, whose calculations have been widely cited across the UK virtual assistant community. Her full methodology and verification is available on her website
The figures are based on a full-time employee working standard hours, with virtual assistant hours calculated on the basis that a VA typically requires around half the time to complete the same volume of work - because when a VA stops, the clock stops.
