How much are your services?
Packages start from £9k a year, but it depends on your business and where you're at. A main contractor chasing subcontractor certs needs something different from a trades business that needs someone across quotes, scheduling and supplier chasing. Book a call and I'll tell you straight what makes sense for you.
What can a virtual assistant do for a construction or trades business?
The admin that piles up while you're on site: chasing quotes from suppliers and subcontractors, raising and following up invoices, keeping your inbox and diary under control, and tracking the certificates and insurance policies that main contractors ask for before you're allowed on a job. I've managed operations on construction sites, so none of it needs explaining twice.
Get the money side wrong and it doesn't stay a cash flow problem. A late invoice or a missed follow-up gets you a reputation as the contractor who's slow to sort their paperwork, and word travels fast between main contractors on the same patch. Staying on top of quotes, invoices, and certificates isn't just about the bank balance, it's what keeps you on the shortlist for the next job.
Can you handle compliance paperwork like RAMS, insurances and certificates?
I track them, chase them and make sure they're submitted before deadlines, so a lapsed policy or missing certificate never holds up a start date. Miss one of those deadlines and a main contractor can pull you off site on the spot, no matter how good your work is. Turn up without valid RAMS and you're not working that day. That's a lost day's pay, a client chasing you instead of the other way round, and a black mark that makes the next contract harder to win.
Standing workers down while you wait on paperwork still costs you in wages, and if the missing RAMS delays the wider project. Miss it often enough and you're off the Principal Contractor's approved supplier list altogether, which closes the door on future work with them.
I don't replace your accountant or H&S consultant. I make sure what they produce actually gets where it needs to go, on time.
How many hours a week do I need?
My packages start at 10 hours a month, which is enough to cover the basics: invoicing, quote chasing and inbox management. Most clients find that once those are off their plate, they want more handed over, which is why the 20-hour package is the most popular. It gives you proper operational cover without committing to a full-time presence. If you're running multiple sites or managing a team, 35 hours a month is where the back office stops being something you dip in and out of and starts running properly. We work out the right starting point on the call, based on where your time is actually going.
Do I need to provide equipment or software?
No. I bring my own kit, licences and insurance. I work inside the tools you already use - whether that's Gmail, Outlook, Notion, Trello or a spreadsheet held together with hope - so there's nothing new to buy or learn.
Is a virtual assistant cheaper than hiring an employee?
Yes, and by more. A full-time admin on the National Living Wage costs over £35,000 in year one once you add employer NI, pension, recruitment and kit.
