  • Contact Data: email address.

4. Third-Party Data and Professional Confidentiality

As a Virtual Operations Partner, Zero Chaos Club often processes data provided by clients relating to their own customers, employees, or suppliers. We treat this data with the highest level of professional discretion.

  • Data Processing: we act as a Data Processor for any third-party information a client shares with us, and only access it to perform the tasks set out in our agreement with that client. Where we process personal data on a client's behalf, we operate under a written Data Processing Agreement with them, as required by Article 28 of UK GDPR.

  • Confidentiality: we maintain a Zero Chaos, Zero Leak policy. Client credentials and records are stored in encrypted password managers and are never shared outside the agreed working relationship.

  • AI Usage: we do not input sensitive client data into public AI models. Any AI tools used for task efficiency are configured so that client data stays private and is not used to train third-party models.

5. How We Use Your Data and Our Lawful Basis

We only use your data for the following reasons, each with a lawful basis under UK GDPR:

  • To respond to enquiries submitted through our contact forms (legitimate interest, in running and responding to enquiries about our services).

  • To send club updates, only where you have opted in (consent, which you can withdraw at any time).

  • To improve website performance through analytics cookies (consent, gathered through our cookie banner).

6. Cookies and Analytics

Our website uses Google Analytics to understand how visitors use the site. This sets cookies that collect information such as pages visited, time on site, and general location, on an anonymised basis where possible.

  • These cookies are only set once you have given consent through our cookie banner.

  • You can withdraw consent at any time by changing your cookie preferences on our site, or by using the Google Analytics Opt-out Browser Add-on.

  • We do not currently use advertising or third-party tracking cookies. If this changes, we will update this policy and our cookie banner accordingly.

We keep personal data only for as long as necessary for the purpose it was collected:

  • Contact form enquiries: deleted after 12 months if no client relationship follows.

  • Client and project data: retained for the duration of our working relationship, plus up to 6 years afterwards to meet UK tax and accounting record-keeping requirements.

  • Newsletter or opt-in contacts: retained until you unsubscribe or withdraw consent.

8. International Data Transfers

Some of the tools we use to run Zero Chaos Club, including Notion and LastPass, are operated by companies based in the United States. Where personal data is transferred outside the UK, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, as set out in each supplier's own data processing terms. You can ask us for more detail on these safeguards at any time.

9. Sub-processors

We use the following trusted platforms to run our business and keep client records secure and organised:

  • Notion, for project management.

  • LastPass, for secure credential storage.

Both platforms are used under their own security and data processing terms, and access is restricted to those who need it to deliver our services.

10. Automated Decision-Making

We do not use automated decision-making or profiling that produces legal or similarly significant effects on you.

11. Your Legal Rights

Under UK GDPR, you have the right to:

  • Request access to the personal data we hold about you.

  • Request correction of inaccurate data, or erasure of data we no longer have grounds to hold.

  • Request a copy of your data in a portable format, or ask us to restrict processing in certain circumstances.

  • Object to processing based on legitimate interest, or withdraw consent at any time, without affecting anything done before you withdrew it.
