What Is a Virtual Assistant? A Plain Guide for Builders
A virtual assistant, or VA, is a real person who works for you remotely and takes on the admin you don't have time for, such as invoices, emails, supplier chasing, the diary and paperwork. "Virtual" only means they work from somewhere else, over WhatsApp, email and booked calls, not that they're a computer.

What does a virtual assistant do for a builder?
Think of the office person you'd hire if you had an office, working part-time from somewhere else. They chase unpaid invoices, send the quotes you've priced, sort your inbox, keep the diary, chase suppliers and subcontractors, and keep your insurance certificates in date. They can check RAMS and Friday Packs, order paper or call out an engineer if your office coffee machine is broken, help with your expenses and make sure your accountant has everything in one place. At Zero Chaos Club, social media is included too.
You stay on site. The paperwork that normally waits for the evening gets done during the day instead.
Is a virtual assistant the same as AI?
No. When I say I'm a VA, people often picture Alexa, Siri or ChatGPT. Those are software.
A VA is a person with a name who answers your WhatsApp, emails learns how your business runs and is accountable for the work.
After a few weeks, a VA knows which customer pays late, which supplier goes quiet and which certificate runs out next. They notice when something looks wrong and tell you. Some VAs use software to speed up routine jobs, but a person decides what goes out in your name and answers for it.
What other names does a virtual assistant go by?
The same kind of work turns up under several job titles. You'll see these most often:

The title usually signals how much responsibility comes with it. An assistant does what you ask. A manager spots what needs doing and owns the process. At Zero Chaos Club, The Second-in-Command package is closest to a remote operations manager: one dedicated person who knows the business well enough to run the back of it without you in every detail. Some VAs only do one thing, such as bookkeeping or answering phones.
Does a virtual assistant have a fixed list of services?
Mine doesn't. I don't work from a service menu. You tell me what you need help with, and I'll take it on if I can. If I can't, I'll say so. The scope depends on the client, because a groundworker with 3 lads needs different help from a contractor running 5 jobs at once.
Is a virtual assistant a quantity surveyor?
No. RICS describes a QS as the financial expert on a construction project, someone who estimates costs, works out material needs and manages the budget. A VA doesn't price work, value it or run the commercial side of a contract. I'm not a QS, and I won't quote for you.
If you already have a QS in the house, you still need someone to send the quote the same day, chase the answer and file the signed copy. That's the VA's job. The QS prices it, and the VA makes sure it goes out and gets followed up.
I'm not a bookkeeper or an accountant either. I can help with your expenses and make sure your accountant has everything in one place. I'm not on site, and I don't write or sign off RAMS. I check them over, chase the missing ones and file them.
How do you work with a virtual assistant day to day?
Mostly by WhatsApp message or voice note, or by email, with calls booked in. You can send a voice note from the van: "Quote's priced, photos coming, send it to Mr Patel before Friday." It gets done, and you hear back when it has.
How do you know it's time to hand something over?
Three signs. Your invoices go out late because the paperwork waits until the evening. You lose an afternoon hunting for an insurance certificate when a form lands. An enquiry sits unanswered over the weekend. If any of those sounds familiar, start with one job, not five. Pick the one you'd least like to do tonight.
